PAY GRADE:    10           PAY STEP: A1          FLSA STATUS:     __  Exempt      x   Non-Exempt

ANNUAL: $25,818.23   BI-WEEKLY: $993.01     HOURLY: $12.41

REPORTS TO: District Clerk

POSITION SUMMARY: This position performs a variety of clerical and administrative tasks in support of the functions of the department

ESSENTIAL FUNCTIONS:

  • Receives and marks documents for attorneys in Criminal, Child Protective, and Juvenile Services.

  • Performs felony criminal background searches as requested by government agencies and private citizens.         

  • Prepares warrants at the order of the Court.                                                                                                         

  • Issues and certifies subpoenas.

  • Prepares CMS brief and scheduled reports to ensure accountability of criminal case files.

  • Retrieves case files and reviews docket sheet entries to determine the routing of the case.

  • Hand carries files to courts and ensures proper notation of returned case files.

  • Maintains inventory of files in assigned courts.

  • Expedites criminal files to requesting judges, coordinators, clerks, and courts.

  • Assists customers with public computer and responds to general inquiries regarding criminal cases.

  • Generates new criminal files for courts.

  • Processes and routes incoming mail.

  • Safeguards criminal files during customer reviewing requests.

  • Completes jail dockets, receives state and defendant exhibits, and receives and seals medical records as needed or assigned.

  • Assists customers with requests for retrieving and reviewing criminal, CPS, and Juvenile files.

  • Receives money from customers, issues receipts, and returns change.

  • Performs other related duties as assigned.

REQUIRED KNOWLEDGES AND SKILLS

Thorough knowledge of purposes, principles, terminology, and practices regarding child protective services, juvenile services, and criminal

and civil law as related to the functions of the position.

Working knowledge of scanning or microfilm process.

Working knowledge of courtroom processes and procedures as related to the functions of the position.

Working knowledge of modern business office policies, procedures, and standards.

Working knowledge of local and state law, procedures, and policies as they relate to the mission of the department.

Working knowledge of county department operations, organization, accountability, and responsibility.

Working knowledge of the preparation and interpretation of statistical, technical, and narrative reports regarding department activities.

Ability to perform mathematical calculations.

Ability to perform research utilizing a variety of paper-based and electronic sources.

Ability to operate common office equipment and machinery, including photocopier, facsimile machine, computer, and typewriter.

Physical condition commensurate with the demands of the position.

PHYSICAL DEMANDS AND WORKING CONDITIONS

The work is typically performed while sitting, standing, stooping, or walking.  The employee may occasionally lift light objects.  The work is typically performed in a standard office environment.

SUPERVISORY RESPONSIBILITY

None.

MINIMUM QUALIFICATIONS

Ability to read, write, and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.

Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion

of an apprenticeship/internship or having had a similar position for one to two years.

Minimum two (2) years scanning or microfilming experience; minimum typing speed 45wpm with 98% accuracy
